Your department documents the response

Enter the response details and attach the available records. Our forms ask for information relevant to the incident, including responding resources, time, materials, and insurance details.

Onsite reviews the submission

We review the incident and supporting documents. If we need more information to prepare the billing, we ask your department for it.

Onsite

Onsite handles carrier follow-up

We prepare the bill, send it to the insurance company, and handle carrier correspondence. That includes documentation requests, payment follow-up, and denials.

Your team can review the progress

Your team can check claim activity and reports in Recovery Hub. You can see which claims are still open and which have moved forward without managing the insurer correspondence yourself.

Fees and department payments

How the money moves

Onsite receives the insurance payment, deducts its agreed percentage, and pays your department its share. There are no contracts or subscriptions. We only earn our fee when funds are recovered.

We explain the fee and Onsite’s rate schedule before you start. An invoice is a request for payment; the amount recovered depends on the insurer’s review and coverage.

Billed
The bill has been sent to the insurance company for review.
Recovered
The insurance company has paid funds to Onsite.
Department share
Recovered funds less Onsite’s agreed fee.
Remitted
Onsite has issued your department’s payment.

The free estimate gives you a rough idea of potential monthly or yearly recovery based on your department’s activity. When you’re ready, we set up your account and help you get started. You can also use a 90-day pilot to see how the process works with your team.

  • Complete any local approvals your department needs before billing.
  • Choose who will submit incidents and answer questions about the response.
  • Review the rate schedule, recovery fee, and payment arrangement.
  • Give the right staff access to Recovery Hub and reporting.

Does every response qualify for payment?

No. The incident facts, local authority, supporting records, available coverage, policy limits, and insurer response all matter. An estimate or submitted bill is not a guarantee of payment.

What happens when an insurer denies a claim?

Onsite tracks the response and any follow-up. We do not transfer the bill to a resident, driver, property owner, or other individual.

Where can we review the results?

Open Reports in Recovery Hub to review claim activity, monthly statements, and available CSV exports. Monthly infographic reports can also be printed or saved as PDFs.
